Redwood Service Center Council Reimbursement Guidelines

Reimbursements will be issued based on the following criteria (see below):
Travel:
- Plane: Actual, most economical coach fare (with receipt) , up to two checked bags (with receipt). Prior approval must be obtained for the RSCC Chair for reimbursement for more than two checked bags or oversized overweight bags, while traveling by air.
- Train or Bus: Actual fare (with receipt)
- Auto:
- The standard business mileage rate (76 cents per mile, effective July 1, 2026) as set by the Internal Revenue Service for transportation expenses. Mileage reimbursement cannot exceed the cost of airline coach fare.
- Mileage to and from the member’s home airport at the rate (76 cents per mile, effective July 1, 2026) as set by the Internal Revenue Service for transportation expenses.
- Airport Shuttle: RSCC will reimburse the cost of airport shuttles to and from the meeting site.
- Parking: Actual cost of airport and hotel parking (with receipt).
Lodging:
- Single -occupancy hotel room w/2 Queen beds or single King bed. All room upgrades form the hotel’s basic room at the expense of the member.
- If travel by private car means an extra hotel or motel charge, such charge is not reimbursable.
- Personal charges such as laundry, valet, telephone calls, snacks and entertainment are not reimbursable.
- A maximum of eight dollars ($8.00) per day for portage is reimbursable.
Meals:
Actual amounts paid including tax and tip are not to exceed ninety dollars ($90) for any one day. Itemized receipts are required for all meals. There will be no reimbursement for meals when RSCC and/or CTA already provides one.
Deadline for filing Reimbursement Claims:
All claims must be filed within thirty (30) days of the end of the month in which they are incurred. An additional thirty-day (30) may be granted for extenuating circumstances set forth in a letter of explanation and filed with the claim.
